VOLUNTEER TERMS AND CONDITIONS

Thank you for volunteering with Grateful Vase! Your role helps us spread joy and connection through flowers. This document outlines the expectations, responsibilities, and safety guidelines for your volunteer experience.
 

1. Purpose & Nature of Volunteering

-Volunteers serve to pickup, create, and deliver flower arrangements to seniors and support Grateful Vase’s mission of kindness.
-Volunteers understand they are not employees or contractors and will receive no monetary compensation.
 

2. Code of Conduct

To ensure safety, respect, and joy in every visit, all volunteers agree to:
-Be on time: Punctuality is essential. Flowers must be delivered fresh, and facilities often operate on a schedule.
-Wear Grateful Vase ID: Shirt, hat, or pin must be visible at all times.
-Stay in public areas: Remain in the facility’s main lobby unless accompanied by a staff member.
-Never be alone with a resident: If someone needs help, immediately find a staff member or another volunteer.
-Be respectful and positive: We’re guests in someone’s home — please act with kindness and sensitivity.
-Only deliver flowers to long-term care facility residents: Do not keep flowers for yourself, give them to friends, neighbors, or staff — unless otherwise given permission by Grateful Vase. Flowers are strictly intended for long-term care residents unless explicitly approved.
 

3. Delivery Day Guidelines

Before Arrival:

Be on time for your scheduled pickup or delivery. Call the facility in the morning. Ask for the Activity Director or speak with the receptionist. Introduce yourself:
“Hi, I’m [Your Name] from Grateful Vase. We deliver flower arrangements to seniors to brighten their day. Can we deliver to your facility today?”

At the Facility:

-Watch for door codes or alarms.
-Leave an informational card with the flowers.
-Remind them: We recycle vases—we will gladly come back and retrieve any used vases.
 

4. Flower Pickup & Preparation (Farm Volunteers)

-Be on time for flower pickups to maintain freshness.
-Bring buckets with water, enough to cover stems.
-Strip leaves from the lower stems to keep water clean.
-Trim stems for better hydration.
-Arrange and deliver flowers within 24 hours for freshness.
 

5. Photography Policy

-Always ask permission before taking photos — not all facilities or residents allow it.
-If unsure, ask the staff to take photos or include staff in pictures.
-Text/Email all photos to Lindsey for Grateful Vase use.
 

6. Confidentiality

-Volunteers must keep all resident information confidential.
-Do not share photos or stories without proper consent.
 

7. Health & Safety

-Follow all facility safety rules and health guidelines.
-Report any concerns or unsafe conditions to Grateful Vase leadership immediately.
 

8. Termination of Volunteer Relationship

-Volunteering is at-will and may be ended by either party at any time.
-Volunteers who do not follow these guidelines may be asked to step away.
 

9. Liability & Insurance

-Grateful Vase does not provide medical or personal insurance for volunteers. By participating, you agree that you are volunteering at your own risk and will not hold Grateful Vase responsible for any injury or loss unless it is caused by serious misconduct or negligence on our part.
 

10. Media & Consent

Volunteers consent to the use of their image in Grateful Vase’s promotional content (such as social media, newsletters, or website) unless they opt out by email. If you prefer not to be photographed or included in media, please email us.
